KSCAN · KOONSULTANCY SCAN FOR SAP B1

Available

KScan.
Warehouse scanning, straight into SAP Business One.

KScan (Koonsultancy Scan for SAP B1) is a barcode scanning add-on for SAP Business One, on handheld scanners and Android phones. Receiving, picking, transfers, inventory counting and production: every scan becomes a document in B1. No WMS, no implementation project, and a price a small warehouse can justify.

01 / THE PROBLEM

What the SAP Business One warehouse was missing.

In a small warehouse on SAP Business One, goods receipt still often happens with a packing slip and a pen. Picking is done from a printed list, counting on a form, and afterwards someone in the office types it all into B1. Mistakes show up when the customer calls.

The big scanning solutions fix that, but they put a WMS layer on top of B1, charge a price per scanner that doubles the price of the scanner itself, and take weeks to implement. For a warehouse with two or three scanners that doesn't add up.

KScan is the small alternative: a scanner or a phone, the open documents from B1 on screen, and every scan straight onto the right line.

02 / WHAT KSCAN DOES

Everything a SAP Business One warehouse scans.

Eight functions, each with the same flow: scan, check, post. Rights per function and per warehouse.

  • ReceivingThe purchase order on screen, scan item by item, also by box or pallet, with batch, serial number and bin. The goods receipt in B1 in one go.
  • Picking and deliveryThe pick list from B1 in walking order. Scan bin and item, the app keeps track of what's open. Posting updates the pick list and creates the delivery.
  • MovingBin to bin, warehouse to warehouse, a whole bin at once, or process a transfer request from B1.
  • Inventory countingCount documents from B1, blind or with stock shown, guided along the bins or a quick count without a document. Several counters on one document.
  • Returns and correctionsCustomer returns, returns to supplier, receipt without purchase order, goods receipt and issue with a reason and G/L account.
  • ProductionIssue and return components, report completion with rejects and by-products, pick for a production order.
  • BinsBlock with a reason, change attributes, and suggestions for put-away and replenishment based on what's already set up in B1.
  • Stock and labelsScan an item or bin and see what's there, per warehouse, bin, batch and serial number. Print a label with a GS1-128 barcode on an ordinary or network printer.

03 / ON THE FLOOR

Built for gloves and hurry.

  • One scan fieldThe app recognises what you scan: GS1-128, item, box, bin, batch, serial number or document number, and opens the right screen. If a code is ambiguous, it asks which one you mean.
  • Overview or step by stepExperienced people see the whole order on one screen. New people get one instruction per screen: item, quantity, batch, bin. Set per function, switch mid-way.
  • Nothing lostEvery scan goes to the server immediately. If the wifi drops, the scan waits on the device and goes through afterwards, without counting twice. Two people can work on the same order.
  • Readable in any warehouseLight, dark and high contrast, all three tested for legibility. Dutch and English, chosen per user. A tone and a buzz on every scan, and a plain-language message when something's wrong.

04 / WHY IT CAN BE CHEAP

Low price, little maintenance. Here's why.

Cheap is only credible when you can see where it comes from. KScan is built so there's little to manage on your side, and little to sell on ours.

Installed in ten minutes

One installer on the server next to SAP, then a wizard in the browser: SAP, database, HTTPS, first administrator, licence. Your own administrator or B1 partner does this with the manual. No consultant on site.

Nothing changed in SAP

No fields, tables or add-on in the B1 client. KScan reads and posts only through the Service Layer, into the documents B1 already has. A B1 upgrade doesn't touch KScan; KScan doesn't touch B1.

No app per device

The scanners show the app from your server. A new version goes on the server once and is on every device. Updating means running the new installer; rolling back takes one click.

Works with what you have

SAP Business One 10 on SQL Server or SAP HANA, alongside the B1 client or the Web Client, a Windows server, and Android scanners from Zebra or Newland. Or just an Android phone with its camera. Labels on the printer you already own.

Nothing leaves the building

KScan runs in your network. No scan, stock level or name goes to Koonsultancy or to a cloud. The licence works without internet; with internet the server fetches the renewal itself, sending only the KScan version. If your subscription ends, stock lookup keeps working for free.

Small team, no sales team

No office, no partner margin, no account manager coming round after three years to sell an upgrade. What you pay goes into building and maintaining. And for once, a scope that doesn't grow.

05 / WHAT IT COSTS

One price per scanner, all functions.

Yearly contract€20per device per month, invoiced per year in advance
Month to month€25per device per month

From one device. All functions, all users, all warehouses and updates are included. No implementation fee. A device is a scanner or phone that is signed in; for KScan, staff with a PIN are unlimited.

Free: without a licence, stock lookup works on as many devices as you like. A trial key gives you everything for ten days.

Support by email, reply within two working days. No 24/7, no custom work.

For comparison: the established scanning solutions for B1 charge €60 to €80 per scanner per month, plus an implementation.

06 / WHAT YOU NEED

Does it fit your warehouse?

Needed

  • SAP Business One 10.0 on Microsoft SQL Server or SAP HANA, with the Service Layer enabled. Works alongside the B1 client and the Web Client.
  • One SAP user for KScan with at least an Indirect Access licence; everything KScan posts is posted under that user, with a remark on the document. Staff sign in to the app with a PIN. Which SAP licences your staff need beyond that is for you and your B1 partner to agree: SAP licenses by named user, also for indirect access through an add-on.
  • A Windows server next to SAP (the SAP server itself is fine) and wifi in the warehouse.
  • Android handheld scanners (Zebra, Newland or any brand that scans as a keyboard) or Android phones with a camera.

Not

  • No iOS. At most later, on request.
  • No offline work: without wifi the app stays up and the scans go through afterwards, but you can't post.
  • No WMS: no wave picking, no voice, no stock administration of its own next to B1. B1 stays the truth.

Field service rather than a warehouse? That's KFSM, our field service management add-on for SAP Business One. And for the people doing the scanning, from contract to leave: KHRM, standalone or with SAP Business One.

07 / STATUS

Where it stands.

Version 0.28. KScan is complete: receiving, picking and delivery, transfers, counting, returns, production, labels, counter sales, packing, photos on documents, multiple branches and per-customer custom fields and checks. Installer, wizard, SQL Server Express and licences work. Sign-in, stock, receiving and the installation have been tested on a real SAP Business One 10.0 (FP 2608); the other functions against a simulated SAP, in well over a thousand scenarios.

Email for a ten-day trial key with all functions, or leave your address below. The first warehouses get short lines and a say in what comes next.

08 / QUESTIONS

Questions about KScan and scanning in SAP Business One.

Can I try it first?

Yes. Without a licence, stock lookup is free on as many devices as you like. For everything else you get a ten-day trial key. You install it yourself with the manual, in a B1 test company if you prefer.

What does my B1 partner have to do?

Nothing in B1 itself. Create one SAP user for KScan with at least an Indirect Access licence, enable the Service Layer if it's off, and check with your partner which licences your warehouse staff need. Your partner can install KScan, or your own administrator. Background: our guide on SAP B1 licences.

Does anything change in my SAP database?

No. KScan creates its own database on your SQL Server; if B1 runs on HANA, on a free SQL Server Express next to it. The only thing that lands in B1 is the documents you post, with a remark so you can see they came from the scanner.

Can KScan replace our current scanning solution?

For a warehouse without a WMS, usually yes: receiving, picking, moving, counting, returns, production and labels are all in. What's not in is listed above. In doubt, email what you scan every day; you'll get an honest answer. See also: scanning in B1 without a WMS.

Is the app available in Dutch?

Yes. Each device is set to Dutch or English; the screenshots on this page are English.

Which scanners work?

Zebra (via DataWedge) and Newland are connected directly. Any other Android scanner that scans as a keyboard works too. No scanner? An Android phone scans with its camera. More in the guide on scanners.
